GradeBook Tip - When A Student Transfers To Another Class

  • Double click in the box where the student’s name appears and using the back arrow, move to the tilde and delete it
  • * This makes the student “active” again
  • Now you can highlight the student(s) you have just made active and go to report/individual report
  • Print out report(s) to give the teacher they have transferred to
  • Close gradebook and re-open and the tilde’s should be back making the student “inactive” in your gradebook
  • You can give those reports to the new teacher so they will have a copy of the student’s grades - when a student transfers from one teacher to another their information moves with them but not their grades.

Starting Second Six Weeks in Gradebook

To enter grades for the second six weeks go to “Class” on the toolbar, and click on “Grading Periods”. Enter the row number of the 1st assignment of the second six weeks in the block I’ve colored red in the attachment. Your new assignments should be yellow in both the score window and the assignment window. This must be done at the beginning of each six weeks and for the semester exam if you give one.

Gradebook First Six Weeks Tips

To Export Grades:

Click on File and select “Export Term Marks”. Make sure that only 1st Six Weeks is checked.

VERIFY THAT “Include Inactive Students” IS NOT CHECKED

Note: If the “G:” drive does not begin the path at the bottom of the Export box please call for help, your grades will not export.

Alternate Grades: Averages below “50” and/or Incomplete six week averages

To enter an Alternate Grade, click on “Class” and select “Grading Periods”. Check the box to the left of “Allow Alternate Grade” in the Description box containing 1st Six Weeks. Do NOT check “Extra Credit”. Click on OK.

In the column titled Alternate Percent” enter a “1”. In the column titled “Alternate Description” enter an “I”. This “1” and “I” must be deleted when the grade is completed.

Hint* If you are following these instructions and you do not see the columns for entering the alternate grades, check style and screen prefs.  It needs to be set to 1st six weeks NOT semester grade to see those columns.

Printing Gradebook Reports

Printing Reports

1. Click on Class and select Report Heading. Verify the correct class name and teacher name. If not correct please type in the correct class name with the class period in parentheses and then your name beside Teacher Name.

2. Click on Style and General Report Preferences, uncheck all boxes at the top, click on OK.

3. Click on Style and Student Data , check only Name, and Student Number, click on OK.

4. Click on Style and Assignment Data, check only Assignment Description, Row #, and Category, click on OK

5. Click on Reports and Group Report, the first assignment box should be the 1st assignment of the second semester through your last assignment.

Click on Print.

Do this for each class period.

End Of Year Grades Export

6th six weeks grades

1) Student receives grade earned even if it is below 50.

2) Enter a 0 for incomplete work and export. Incompletes are not acceptable at year-end for any six weeks. Missed work can be left with the counselors along with answers and the student will be called. If the student completes the work the grade will be re-averaged.

Semester Exams - (ignore if you do not give exams).

1) Click on Class (on the toolbar), then click on Grading Periods. Scroll down on the right to 2nd Semester Exam and enter the line number (from the assignment window) of the semester exam next to Starting Assignment. If you have exemptions also click the check box “ Allow Alternate Grade“. When you return to the Assignment window type “Semester Exam” in the description box, 100 in the points column — when you tab over exam or semester exam should automatically fill in the Category column. The colors should be white (4th six wks), yellow (5th six wks), white (6th six wks), and yellow (semester exam). If this is not true call for help.

2) Student receives grade earned even if it is below 50.

Semester Exam Exemptions

Click on Class (on the toolbar), then click on Grading Periods. If you have not already done so scroll down on the right to the semester exam and click the check box “ Allow Alternate Grade“. Click OK. In the Score window, i f the Semester Exam grade is NOT on your screen next to the student’s name click on Style (on the toolbar), click on Screen Prefs…, then click on Grading Period and show the semester exam in the drop down box. Scroll to the far left — leave the “Alternate Percent” blank and enter an “E” in Alternate Description. This will not show up on your reports. You may want to type an ex (excused) in the actual grade column where you are entering the other students grades.

Semester Exam Absences

Enter a “0″ for the semester exam and export. Leave a copy of the exam with the student’s name on it along with the answer key with the counselors.

Semester Averages

1) Check semester averages by showing the average next to the student’s name. Click on Style (on the toolbar), click on Screen Prefs…, then click on Overall Summary.

2) If a student had an incomplete in either the 4th or 5th six weeks and you entered the “1″ and “I” , you must remove the 1 and I from the Alternate percent column in the 4th or 5th six weeks.

Export Term Marks

When you are ready to export term marks be sure to check the 6th six weeks, 2nd semester exam, 2nd semester average and Year End average.

Print a Group Report

Print a Group Report for each class (instructions attached). The beginning assignment should be the first assignment of the second semester. The Group Report will be turned in after the grades are validated at the end of the year.

Learned Lessons, Solved Problems, Smart Help!

I work with smart people who teach me which ends up making me look good. First thing this morning I opened up my laptop and checked email and right off the bat received two messages that looked fishy. I sent a screenshot to our tech director and sent out an email telling everyone to NOT open these type messages. I got an email from Tony saying to look in my message headers and it would show me where it was coming from and to go take a look at that computer. Within a few moments of getting that first message I was working on the guilty machine and cleaning the virus from it.

I left there to look at a computer that seemed to have lost touch with the drive containing GradeBook. It isn’t unusual to lose the network and I thought that would be the problem. When I opened explorer all the drives were listed but the drive where the gradebook should be was showing the drive where the installs files reside and I had never seen that before. Lucky for me our tech superman, Josiah was nearby and suggested right-clicking and disconnecting from the drive and then logging off and re-logging on to see if the logon script was running and if so that should reconnect to the correct drive. This worked like a charm.

I also told him that the computer with the virus wouldn’t let me update the virus protection program. He told me that was a virus stopping it and to uninstall and re-install the virus protection program and it should work. Again - worked great!

I’m posting this to thank both of them and to have a reminder in case this comes up again or in case someone else runs into these problems. I have also added the information to my card file of things I may need again someday when there is no one available to ask. Thanks guys!

5th 6 Weeks Grade Export

5th Six Weeks Grades Export Help

1. Do not export inactive students.

To Export Grades:
Click on File and select Export Term Marks. Make sure that only 5th Six Weeks is checked.

2.Allow Alternate Grade if needed.

If a students’ six week average for the 5th six weeks is below 50, an alternate grade of 50 must be entered. In the column to the right of the student’s name titled Alternate Percent enter a 50. In the column titled Alternate Description enter an F.

To show the Alternate Percent columns, click on “Class” and select “Grading Periods”. Check the box to the left of “Allow Alternate Grade” in the Description box containing 5th six weeks. Do NOT check “Extra Credit”.

How do I now I’m in the G drive???

When you create a new class - the very first one you should do one thing. Go to edit - preferences. Click on default folders/opening and saving classes. Make sure to select G as the default drive for all this.

After you do this for the first one it should remain the default for all the other classes you create without you having to tell it again. This is also a great time to check that allow export when saving and allow import automatically are check in the export and import preferences. Again if you do this once it will be set for all the classes.

If you can’t find your G drive call or email me - if you are doing any of this while you are NOT in the G drive you are not accomplishing anything and will have to go through the whole process again!

Gradebook setup - the cliffnotes version!

Open Gradebook
Click on new class button
You should have a class called untitled come up
File/Import Roster
Make sure you are in the g drive - you should see your classes listed
File/Save Class As - name class dmar1.cls e.g. (first 4 letters of your last name or if there is more than one of you on campus with the same last name try first initial and last 3 letter of last name) ending with .cls

Before you click make sure you are in G drive - check the drop down box at the bottom and change if necessary.

Class/Report Headings - the name of this particular class should already be there and in parentheses put the class period then in the second box type your name. This will allow reports to be printed correctly.

Class/copy from - select every box on the left except the bottom 2
Select File - choose the correct template (full year no exam whatever you need for that class)

If you are setting up a second semester class you will need the 2sem template - either exam or noexam depending on your class

File/Import Roster

Make sure that at least once on the computer you will be using in your room that you go to edit/preferences - click the drop down box and choose automatic import - make sure the box is checked that starts with allow automatic imports - this will insure that you have the correct roster every time you open your classes.

Go to Class/Set Password (for each class)

Assignments - when you begin to enter your assignments you must physically type 100 in the points box and then on the drop down box check whether the assignment is daily, test, or six weeks test - Make sure you have good descriptions on your assignments as these will show up on the K12 Planet website which will be accessed by parents.

If you will put the date under miscellaneous you will later be able to sort by date - You can do this under utilities, sort assignments, place the one in the misc box and take the one out of the description box. You should now see your assignments sorted by date.
